By the time finance reaches the final stages of an AP platform evaluation, the feature lists often start to look very similar.
Every vendor talks about their workflows, automation, dashboards, and integrations.
The question isn’t whether the features exists.
The question is whether they works in your environment.
The demo is only the beginning
A vendor demo typically shows the platform under ideal conditions.
It may not reveal:
How much configuration your process will require knowing where manual work will remain, how the system handles exceptions, what happens when something breaks, how well it fits your ERP, and how it handles your approval structures.
Those details determine whether the platform actually reduces complexity.
Test the platform against real scenarios
Buyers should bring their own operating reality into the evaluation.
Use actual examples:
A non-PO invoice.
A partial receipt.
A pricing mismatch.
A multi-entity approval.
A supplier change.
An exception that needs to be reassigned.
Ask the vendor to show how the platform handles those situations from beginning to end.
Look beyond claims
The sales process tells you what the vendor says the platform can do.
The final evaluation should ask what can be proven.
Independent analyst recognition can validate market position and technology strength.
Customer reviews can reveal what day-to-day use is actually like.
Case studies can show measurable outcomes.
Implementation details can reveal how much complexity is hiding behind the demo.
Fit still matters
A platform can be strong and still not be right for every organization.
The final choice should account for:
ERP fit Implementation requirements Finance autonomy Workflow flexibility Expected growth Ongoing IT dependency
The best evidence is the evidence that maps directly to the problems the organization is trying to solve.
The demo should start the evaluation.
It shouldn’t finish it.
